Methodology and limitations
Last reviewed:
Methodology
Sums (clock-out − clock-in − unpaid lunch) per day, converts to HH:MM and decimal hours, then splits weekly hours above the overtime threshold at the configured multiplier for a gross pay estimate.
Limitations
Does not model daily overtime rules, paid breaks, rounding policies, or tax withholdings. Confirm with your payroll system.
How a Weekly Time Card Is Calculated
Your week is Mon–Fri, 6:00 AM–2:30 PM, with a 30-minute unpaid lunch at $22/hour—that's 40 hours and about $880 gross before taxes. Enter clock-in, clock-out, and lunch for each day below; add a Saturday shift in the tool if you want to see overtime at 1.5× after 40 hours. Export CSV or print when you're done.
Method used
For each day the calculator subtracts clock-in from clock-out (adding 24 hours when the shift crosses midnight), subtracts unpaid lunch minutes, then sums the week. Hours above the overtime threshold are paid at the overtime multiplier for a gross pay estimate. Totals are shown as HH:MM and decimal hours for payroll.
Day hours = (clock-out − clock-in − lunch) ÷ 60; OT hours = max(0, weekly hours − threshold)
Practical example
Your week is Mon–Fri, 6:00 AM–2:30 PM, with a 30-minute unpaid lunch at $22/hour—that's 40 hours and about $880 gross before taxes. Add a Saturday shift in the tool to see overtime at 1.5× after 40 hours.
- Clock-in and clock-out per day
- Unpaid lunch minutes
- Hourly rate, OT threshold, and OT multiplier
The result shows weekly HH:MM and decimal hours, regular vs overtime split, and estimated gross pay, with CSV export and print.
Assumptions
- Lunch minutes are unpaid.
- Overtime is weekly above the entered threshold (default 40 hours).
- Pay is gross before taxes and deductions.
What this includes
- Seven-day timesheet grid, overnight shifts, lunch deduction, decimal hours, OT split, pay estimate, CSV, and print.
What this excludes
- Daily overtime rules, paid breaks, rounding policies, tips, differentials, and tax withholdings.

Frequently Asked Questions
How do I calculate hours on a time card with lunch?
For each day, subtract clock-in from clock-out to get shift length, then subtract unpaid lunch minutes. Sum all days for the week. This calculator automates that math and shows both HH:MM and decimal hours for payroll forms. Fix any day where lunch exceeds the shift—those rows are invalid until corrected.
What is time to decimal hours?
Decimal hours convert minutes into a fraction of an hour—for example, 8 hours 30 minutes becomes 8.50. Many payroll systems require decimals rather than HH:MM. The week summary shows both so you can copy the format your employer expects without manual conversion errors.
Does this support overnight shifts?
Yes. If clock-out is earlier than clock-in—such as 10:00 PM to 6:00 AM—the calculator treats the shift as overnight and adds 24 hours before subtracting lunch. Verify the calendar date your employer assigns to overnight work, because some policies attribute hours to the start date.
How is overtime calculated on a time card?
Weekly hours above your overtime threshold (default 40) are paid at your overtime multiplier (default 1.5×). Regular and overtime hours and pay appear separately. Daily overtime rules in some jurisdictions are not modeled—adjust manually if your locality requires daily OT after eight hours.
Can I export or print my timesheet?
Yes. Download a CSV with day-by-day rows and pay summary metadata, or use Print timesheet for a paper copy to sign. Share links can reopen the same inputs later for edits. Keep exports for your records when submitting hours outside an official timeclock app.
Is unpaid lunch required?
Enter unpaid break minutes per day. Use 0 if you skip lunch or if lunch is paid. If lunch minutes exceed the shift length, that row stays invalid until you fix clock times or break length. Follow your workplace meal-break policy rather than inventing unpaid time you did not take.
